Party equipment hire checklist

Start with what guests will do and what the venue already supplies. Hire equipment to close real gaps rather than building an exhaustive wish list that duplicates furniture, power or services already available.

Guests and layout

  • Seats and tables for each stage of the party
  • Accessible places and circulation routes
  • Shelter or weather cover
  • Registration, gifts, cake, buffet or bar surfaces only where needed
  • A measured layout using supplier dimensions

Food, sound and lighting

  • Serving equipment agreed with the caterer
  • Sound suitable for speeches, music and venue limits
  • Task lighting for catering and staff
  • Guest and route lighting
  • Cables and equipment positioned by suitable suppliers

Power and weather

Ask every supplier for their power requirements and make one coordinated plan with a competent provider. Do not overload sockets or improvise outdoor connections. Confirm wet-weather cover, wind limitations and temperature needs for temporary equipment.

Delivery and collection

  • Who delivers, installs and tests each item
  • Access dimensions, parking and stairs
  • Handover and operating instructions
  • Collection window and overnight security
  • Cleaning, damage and missing-item terms
  • A named contact for delays or faults
